Health & Safety Protocols

NCSEA is dedicated to providing a safe event experience for all participants involved including attendees, sponsors, presenters, staff, exhibitors, and anyone else that will be present at the event. As information around the virus continues to develop, we will adjust our approach as needed based on guidance from our medical experts. Edits to the policies may be made based on ever changing news around the country, around the state of Texas and the city of Austin. Given that the responsibility of a safe in-person event is equally shared among NCSEA, event vendors, event sponsors, and event attendees, NCSEA has developed the following code of conduct to which all participants need to abide by. This document outlines a collection of rules and regulations that include what is and is not acceptable or expected behavior

Before Leaving Home

  • Follow relevant guidance provided by the Centers for Disease Control and Prevention (CDC), or your local health authority.

  • Adhere to government issued travel restrictions and guidance issued by the region you will be travelling to and the region you are travelling from.

  • Evaluate your own health and that of people you are in close contact with; contact NCSEAs if you have concerns.

  • Stay home if you feel sick.

  • Add to your phone’s address book the NCSEA’s contact information listed at the end of this document.

On-site During the Event

  • Abide by the rules of NCSEA and Austin Marriott Downtown

  • Assume all risks of attending an in-person event, including the potential risk of becoming infected with COVID-19

  • Follow guidance from the local health authority, for everyday preventive actions to help prevent the spread of respiratory viruses, including:

    • Washing hands often with soap and water for at least 20 seconds, or an alcohol-based sanitizer with at least 60% alcohol.

    • Avoiding touching eyes, nose, and mouth with unwashed hands.

    • Covering your nose and mouth when coughing or sneezing. Throw used tissues in the trash.

  • In adherence with CDC guidelines, vaccinated individuals will not be required to wear face masks at the event. Attendees will not be asked for proof of vaccination.

  • It is recommended that unvaccinated individuals and those with health concerns wear a face mask at the event.

  • Seating in the plenary sessions will be limited to six individuals per round table. Attendees must refrain from moving pe-set chairs, furniture and table settings.

  • Stay in your room and contact NCSEA for further instructions if you wake up not feeling well during the event. Contact information can be found at the end of this document.

  • Attendees are asked to conduct daily personal health assessments, checking for COVID-19 symptoms (cough, fever, shortness of breath, sore throat, fatigue, chills, muscle aches, sudden headache, loss of taste or smell)

  • If you test positive for COVID-19 up to 14 days after returning home, please contact NCSEA immediately to advise them. Contact information can be found at the end of this document.

What’s expected of attendees

It is hard to have strict adherence to CDC guidelines between people who are long-time colleagues and friends. We have heard from many of you that you look forward to the opportunity to see colleagues after more than a year of teleworking and travel limitations. However, we are committed to the safety of our attendees, and appreciate your cooperation. Attendees are expected to adhere to and respect the protocols and regulations outlined by NCSEA and the Austin Downtown Marriott. Failure to comply with these requirements will result in participants removed from the conference space and refused admission to conference programming and events. No refunds will be provided.
